- Communication data: enquiry messages, review submissions

4. Why we collect your data and our lawful basis
We collect and process your personal data for the following purposes:

- To arrange and deliver driving lessons — Lawful basis: Contract (necessary to fulfil the service you've requested)
- To verify your identity and driving licence eligibility — Lawful basis: Legal obligation (DVSA instructor requirements)
- To communicate with you about your lessons, test progress, and bookings — Lawful basis: Contract / Legitimate interests

5. How we store your data
Your data is stored securely in the following systems:
- Google Sheets & Google Drive — waiting list applications and uploaded documents (licence images, theory certificates). Stored within Google's UK/EU infrastructure.
- Total Drive — pupil management platform used for lesson scheduling, progress tracking, and payments.
- Formspree — used to receive general and college enquiry form submissions by email.
- Gmail — used for email communications. Messages are stored on Google's servers.
Uploaded documents (driving licence images, theory certificates) are stored in a private, access-controlled Google Drive folder accessible only to Redcliffe Driving School.
6. How long we keep your data
- Waiting list applications: retained until you begin lessons, withdraw your application, or for a maximum of 24 months from submission — whichever comes first.
- Active pupil records: retained for the duration of your lessons and for 12 months after your final lesson or test result.
- Enquiry messages: retained for 6 months unless they lead to an ongoing relationship.
- Financial records: retained for 6 years in accordance with HMRC requirements.
7. Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. Your data may be shared with:
- Total Drive — our pupil management platform, to manage bookings and lesson records
- Twilio — used to send automated SMS notifications about your application status
- DVSA — where required for test bookings or licence verification
- Legal authorities — where we are required to disclose data by law
8. Your rights under UK GDPR
You have the following rights regarding your personal data:
- Right of access — you can request a copy of the data we hold about you
- Right to rectification — you can request correction of inaccurate data
- Right to erasure — you can request deletion of your data (subject to legal retention requirements)
